Tips, Tricks and Secrets #8: Zoom on Emails

We have been sharing some of our favorite tips, tricks and secrets using our software products. This tip is for our Intellect email client users:

Tip #8: Zoom on Emails

As you select a message to read, you may find that the font that looked right to the sender looks way too small for you.  Similar to web browsers, the Intellect mail preview window allows you to zoom in and make it bigger, bigger, bigger (or smaller for that matter).

Hold down the CTRL key with one hand and use the scroll wheel on your mouse with the other. Wheel up to make everything in the preview window bigger and wheel down to make it smaller again.

The Zoom level you pick will also stay in effect for other messages while you have the program open, but will reset back to the normal 100% the next time you launch Intellect.

Bonus tip:  Hey, its two for one!  Use CTRL-M (or the big square button below the black X in the preview pane) to Maximize the preview window, allowing it to cover the list of messages and give you more room to read.  When maximized, two new buttons are also added to the toolbar to allow you to still move up and down the list of messages. When you are finished, you can hit the same button or keystroke again to return to the normal state of things.

Tips, Tricks and Secrets #7: Make Tasks from Emails

Have you ever received an email asking you to do something?  The better question might be have you ever gotten an email that DIDN’T?

While I’d like to get things done right away, emails can be an interruption to whatever you are currently working on.  One of the best tips for Intellect users is to turn an email direct into a to do item!

When you want to email back that you’ll do it (but not right now), simply drag the email and drop it on the tasks button at the lower left corner. That’s it!  Intellect will make a new task item with a description just like the subject of the email. It will even build a link back to the email message so that when it comes time to actually do the job, you can easily refer back to the email request that started everything.

Tips, Tricks and Secrets #6: Editing Envelopes or Labels on-the-fly

There are times where you still need to send real letters or packages – not everything can be done by email!  Our contact manager programs, Intellect, Time & Chaos and ChaosFree, can easily print envelopes or mailing labels for you, just using the Print button on the toolbar.

There are times, however, when you want to make a quick change on-the-fly. Something that isn’t permanent (or you would edit the record and save your changes) but still a change you want to make right now for this printout.

edit print textOur Print Preview screen has a great trick where you can point to a piece of text and hold the Shift key on the keyboard with one hand while clicking in the middle of the text with your mouse.  This secret method will pop-up a text box with the text in that area that is about to print. This box allows you to modify the label or envelope to add an ATTN: line or change a name or anything else you want to change.

Keep in mind that the print sizes have already been calculated, meaning you can’t add lines and lines of additional information. This tip is for making quick and small changes just before printing.

Tips, Tricks and Secrets #5: The quickest way to add Notes

Every record in Time & Chaos and Intellect has a Notes area for you to record information that doesn’t fit in traditional fields.  What might not be obvious, though, is that each of these programs has a quick way to go directly to the Notes to add more information.

First, go to our classic section and look at the column headings in each area of the screen.  (Unless you’ve removed it, *) each section will have an “N” column before the other fields are displayed.  “N” stands for Notes and this column is a hotspot you can double-click on to go straight to the Notes area!  Double-click anywhere else on the line and it opens the record to the normal Main tab instead.

Records that already Notes will have a Note icon in this column, but you can double-click in this column even on records that don’t have Notes yet!

* If you don’t have an “N” column, you can right-click on the column headings you do have and choose Reset columns to return them back to the defaults, including the “N” note column being the first one and a hotspot to open directly to notes.

Tips, Tricks and Secrets: #4 Quick Find with And/Or

Tip #4: Quick Find with And/Or

At the top right corner of Intellect 4 and Time & Chaos 8, Quick Find is always ready to dig through your data to find a phrase anywhere you’ve entered it. Best of all, unlike our report screen that only scans one type of data at a time, Quick Find scans all of the databases in your data folder for hits.quickfind

Most of the time, looking up a simple phrase will do, but sometimes you want a more advanced lookup.

For “AND” searches where you want hits to match two or more phrases, just include an ampersand “&” character in the quick find box.

For “OR” searches where you want hits to match one phrase or another, just include a comma “,” between the phrases.

For best results, skip the spaces. So if you are looking for contacts named Bill or Bob, don’t enter “Bill, Bob” but instead use “Bill,Bob” with no space after the comma.
