Create and use a Welcome Email Series

A Welcome Email Series is a great way to introduce yourself to new or prospective clients. You can send multiple emails over the course of a few days or weeks to give the recipient time to get to know you and to increase the chances of having them follow through on your call to action.

Intellect can use a combination of email templates, email merging, and scheduled sends to help automate something that could take much time and effort to do on your own.

Step 1 - Create Templates for each of the emails you wish to send as part of your welcome series. Be sure to give them great (but different) subjects and save them so they will appear in your Drafts folder.

Step 2 - Go to the right side of the Options button at the top and start the Activity Series Editor. You need to select E-mail Series under Activity Type and give it a name in the Activity Series Name field.

Click on the Add button and you will be able to pick one of your templates from the Drafts folder along with a Day number to send it on and a time. Since this series can be used at any time in the future, the Email Series is looking for numbers of how many days before or after today should this email be sent. There is a checkbox for what to do if this day happens to fall on a weekend, too.

Keep adding the other messages in your series until the list is complete, then Save and Close.

Step 3 - In the Mail area, to the right of New is a drop down arrow where you can choose Add Series. You will pick which Email Series you wish to send, but you should also go to the Linked Contacts tab to choose who to send these messages to. As an alternative, if you are in the Contact area and have a name or names highlighted there already, you can go to the New button in the Contact area and choose Add Series. This will also bring up the list of Email Series lists you have created, but the list of Linked Contacts will already have these highlighted names selected for you.

Step 4 - Click OK and Intellect will do the merge and place these messages in the Scheduled folder so they are ready to deliver. If you change your mind about sending them, you should delete them from the Scheduled folder before the date and time they are scheduled to go.
